Rental agreement

Terms & conditions

These terms accompany every Rental Quotation. Rates are quoted per day. Anything not covered here is confirmed in writing before the gear leaves the studio.

  1. Payment

    • The client pays 50% upon accepting the Rental Quotation.
    • The full balance, including the collection fee, is due on collecting the rentals, or as specified in the Rental Quotation.

  2. Cancellation

    • Cancellation requires 48 hours' written notice.
    • More than 48 hours before the booking — 100% refund, in cash or by transfer to a local bank.
    • 24 to 48 hours before the booking — 50% refund, in cash or by transfer to a local bank.
    • 24 hours or less — no refund.

  3. Security deposit

    • The client deposits the passport or KTP of the producer or director into Mid Night Sun's care for safekeeping, until the equipment has been safely returned.
    • Larger rentals require an additional security deposit, determined case by case.

  4. Rental period

    • Prices are per day.
    • Equipment can be collected after 3:00 pm and before 9:00 pm, and must be returned before 11:00 am, as stated in the Rental Invoice.
    • All rentals must be returned as per the Rental Invoice.
    • Extension requests must be made 24 hours in advance, subject to approval and additional fees.
    • Travel days must be pre-approved, or an additional rental day applies.

  5. Transportation

    • Collection and return of rentals are at the client's expense.
    • Gear packages exceeding a predetermined value require Mid Night Sun approved transportation.

  6. Equipment usage

    • The client retains possession and does not sublease rented equipment to other productions.
    • The client checks equipment before use and reports malfunctions immediately.
    • Mid Night Sun is not responsible for defects.
    • The client indemnifies against claims related to the rental.
    • Negligent usage and accidental damage incur full repair or replacement costs.

  7. Damage and loss

    • The client is responsible for damage and loss.
    • The client pays daily rental until the item is repaired or recovered, up to twelve (12) weeks from the date of damage or loss.
    • The client brings their own insurance, or is liable for the immediate replacement cost of the damaged item with the final invoice.

  8. Cleaning

    • Rentals must be returned clean and free from sand, debris and moisture.
    • A cleaning charge applies if they are not.

  9. Legal expenses

    • The client indemnifies the production house for all expenses, including legal costs, arising from breach of the rental agreement.
    • This includes the full equipment replacement cost where necessary.

  10. Supervision

    • Items exceeding a predetermined value require a Mid Night Sun Gear Guard present for the full term of the rental.
    • Unless otherwise stated, the Gear Guard's fee is separate from the cost of the rented equipment. It is charged at IDR 750.000 per day.
